Problem & solution
Practice unreachable by phone? This is how every call gets through
The essentials at a glance
- Most common reasons: during a treatment, an engaged line, lunch break, after hours, weekend.
- Those who meet a busy line rarely wait; they call the next practice.
- Voxtra accepts every call immediately, several in parallel too, and is always free.
- As overflow: your team answers itself, and Voxtra steps in when everybody is busy.
Why practices are often unreachable by phone
In a small practice, someone can rarely sit on the phone alone. During a treatment the phone rings into emptiness, at lunchtime and after hours anyway. And when someone does pick up, the line is busy for the next caller.
This is ordinary everyday life. Only, this everyday life collides with calls exactly when people have time to arrange an appointment.
What happens when everybody is busy
Hardly any callers leave a voicemail, and even fewer call a second time. Mostly they simply dial the next practice. The call is then gone before you even notice that someone wanted an appointment.
This is how poor reachability becomes a silent loss of bookings. Why this hits growth directly is described under More customers through reachability.
Voxtra takes every call
Voxtra answers forwarded calls immediately, on a free line, seven days a week, and also when several people call at once. The assistant clarifies the concern and books the appointment directly into your system, with confirmation by SMS if the practice enables it. Medical questions and anything your team needs to judge, it hands back cleanly to your practice as a callback.
An answering machine only takes messages; Voxtra really books. The difference in detail is described under AI voice assistant or answering machine?.
Set up as overflow and keep personal contact
You hand over only the calls you wish. Voxtra can be set up as overflow: your team continues to answer itself when it has time. When everybody is busy, the line is engaged or the practice is closed, the assistant takes over.
This keeps personal telephone contact alive, and every call gets through. How this differs from an external phone service is described under Telephone secretariat compared.
Setup and price
Setup with your existing calendar takes around 30 minutes, and we configure the forwarding together with you. After that your practice is reachable, and your day-to-day stays as it is.
Voxtra costs from CHF 299 per month, independent of call volume, and a free 30-day test with your real calls is included. All packages are under Costs and prices.
Swiss-made software from Zurich
Voxtra is a Swiss product in its own right: the software stack is developed, owned and operated by Voxtra GmbH in Zurich. For Swiss practices that means short lines of communication, a local contact and data protection that meets Swiss expectations.
Sensitive call and appointment data is treated confidentially and serves only the services agreed with your practice. The revised Swiss Data Protection Act (revFADP) is therefore part of the product.
