AI voice assistant, answering machine or receptionist?

There are several common routes for the practice phone: the answering machine, a dedicated receptionist, an external telephone service or an AI voice assistant. Each has its strengths and its weaknesses. If your practice mainly needs an appointment book that fills up, an AI voice assistant covers the most ground. Where a human is irreplaceable, combine the two.

The essentials at a glance

  • An answering machine only records; Voxtra books the appointment immediately.
  • Around the clock reachable and always free even with parallel calls.
  • More plannable and usually cheaper than a receptionist or a per-minute telephone service.
  • For delicate cases, promises a callback with your own announcement.

The answering machine (Combox)

The cheapest option, often already included in the phone line. An announcement asks for a callback; that is where it ends.

The catch: many callers hang up as soon as the beep comes, especially those who want an appointment quickly. Booking comes later. Every message has to be listened to and returned by your team later, often alongside the actual work. For a practice where appointments are what count, the Combox is more of a stopgap than an answer.

Announcement text for the practice answering machine

If it is to stay with the answering machine, the greeting decides how many callers leave a message at all. Keep it short, name the practice, say when you will call back, and ask for exactly what you need for the callback.

For after hours, for example: “You have reached the Muster practice. We are in session right now and will get back to you on the next working day. Please leave your name, your telephone number and your concern.” If the practice is closed for holidays, the date of return and the covering arrangement belong in the announcement.

Even the best announcement leaves open that afterwards someone has to call back and that in the meantime the appointment is missing. That is exactly what an AI voice assistant turns around: instead of reading out an announcement, it conducts the conversation and enters the appointment. You still write the greeting yourself; it is read out like your announcement, only the conversation continues afterwards.

The in-house receptionist

A person at the reception desk is personal and flexible. They hear nuances, catch delicate concerns and know the regulars. For many practices, this is the gold standard.

They are also the most expensive option: wages, social security contributions, holidays and illness come together. And they are only there as long as the practice is open. If the phone rings during a treatment, while they are already on a call, or when they are ill, the call is lost. A second caller at the same time hears the busy tone, because one person can only hold one conversation.

The external telephone service

Here, real people answer, also outside your opening hours. This noticeably extends your reachability and sounds professional.

Two catches usually remain. First, the costs: billing is generally per minute or per call, which becomes hard to plan with many conversations. Second, the calendar: the team works from a general script and often only takes a message, instead of booking the appointment directly into your system. How a telephone service and an AI assistant differ in detail is covered in the telephone service comparison.

The AI voice assistant

An AI voice assistant like Voxtra takes the calls that would otherwise sit unanswered: when everybody is busy, when the line is busy, in the evening or at the weekend. Several calls at the same time run in parallel.

It books the appointment directly into your calendar, moves it or cancels it, all in the conversation. The existing booking system remains the leading calendar. It understands German including Swiss German, French, Italian and English and recognises the language itself. You pay a fixed amount per month, regardless of the number of calls.

Even an AI assistant has limits. If a concern becomes delicate or complicated, Voxtra plays the sentence you have stored for that case (for example, that someone from the practice will get in touch) and ends the conversation. The AI therefore covers the standard situations; it catches the many routine calls that would otherwise sit unanswered.

This keeps the personal phone contact intact. Your team can still pick up the phone itself when it has time. Voxtra becomes a second line and a bridge between the practice and its patients.

The four options in direct comparison

The same criteria side by side, rated honestly. Every option wins in some rows.

  • Reachability: the answering machine always, but only as an announcement; the receptionist only during opening hours; the telephone service in extended hours, depending on the provider; Voxtra as overflow, in the evening and at the weekend.
  • Direct appointment booking: with the answering machine after a callback only; with the receptionist yes, directly in the calendar; with the telephone service usually only a note; with Voxtra yes, directly in the calendar.
  • Languages: with the answering machine one fixed announcement; with the receptionist and the telephone service depending on the person or team; with Voxtra DE, FR, IT and EN, Swiss German is understood.
  • Waiting time with several calls: with the answering machine it disappears, but every message waits for a callback; with the receptionist a busy tone, one conversation at the same time; with the telephone service a queue is possible; with Voxtra several calls at once, always free.
  • Cost model: the answering machine very cheap, often already included; the receptionist wages plus additional costs; the telephone service usually per minute or per call; Voxtra a fixed monthly price from CHF 299.

What suits your practice?

For most smaller practices, an AI voice assistant covers the most ground, and at a price that stays the same every month. It catches the missed calls, books appointments and speaks the language of the callers.

The human stays in charge of the delicate or very personal case. As soon as it is about more than booking an appointment, Voxtra promises a callback with your own announcement; the caller knows where they stand, and your team calls back. How automatic booking works, you can read under automated appointment booking. What it all costs, you can see under Costs & prices.

Swiss-made software from Zurich

Voxtra is a Swiss product in its own right: the software stack is developed, owned and operated by Voxtra GmbH in Zurich. For Swiss practices that means short lines of communication, a local contact and data protection that meets Swiss expectations.

Sensitive call and appointment data is treated confidentially and serves only the services agreed with your practice. The revised Swiss Data Protection Act (revFADP) is therefore part of the product.
