Telephone service vs. AI

Telephone answering service for the practice: is an AI voice assistant worth it instead of a telephone secretariat?

An external telephone service, often called a telephone secretariat, lets people take your calls. An AI voice assistant takes them itself and books directly. The good news first: you can have both. Voxtra can replace a telephone service entirely or simply step in as an overflow when your team is busy.

The essentials at a glance

  • Fixed monthly price instead of a per-minute rate: from CHF 299 per month, regardless of call volume.
  • Replaces a telephone service entirely or steps in as an overflow, when your team is busy.
  • Books appointments directly in the calendar, a callback falls away.
  • For delicate concerns, Voxtra promises a callback with your own announcement.

What an external telephone service delivers

With a telephone service, trained staff take your calls when you are busy yourself. They identify themselves in the name of the practice, listen, note the concern and pass it on. Urgent cases go straight to you, and the rest waits for the agreed callback.

For many practices, this is a noticeable gain. Somebody picks up, and a human at the other end appears friendly and dependable. With a telephone secretariat callers get a real voice that can ask follow-up questions and think along. That is the strength of this solution.

When the phone should deliberately stay personal

Many practices work mostly by phone, because personal contact is part of care. Patients know the voice at the reception desk, ask a short extra question and feel taken seriously. That should stay.

Voxtra therefore takes over only the calls you hand to it. Your team can keep answering itself, as long as it has time. When everybody is busy, the line is busy, it is the lunch break or the practice has closed for the day, Voxtra steps in via call forwarding. This keeps the personal contact intact, and the risk drops that an appointment is lost because the team was busy at the time.

Delicate questions and conversations in which the relationship matters more than speed stay with the team. Routine matters such as booking, moving or cancelling an appointment, Voxtra handles immediately; where needed, a callback or, on request, a personal handover is prepared.

Where a telephone service reaches its limits

The bill shows at volume. A telephone service usually bills per minute or per call, so the costs rise with every additional conversation. A full day hits the budget directly. What a telephone secretariat costs is hard to estimate in advance.

Reachability also has limits. Few services are reachable all week and through the night, and that is exactly when many patients call: after closing time.

The biggest point: the staff work outside your calendar. They note the concern, and the appointment arises later. They work with general scripts for many customers at once, instead of your treatments and your opening hours. In the end, callers explain their concern twice: once to the telephone service and later once more to your practice.

What an AI voice assistant does differently

Voxtra takes the calls that are forwarded to Voxtra: during the day as overflow, in the evening or at the weekend. The assistant can hold several conversations at the same time and is always free.

The decisive difference is direct booking. Voxtra enters appointments into your system immediately, moves and cancels them, and a callback falls away. This works with OneDoc and ePhysio. Whoever calls has the appointment at the end of the conversation. This is how automated appointment booking works for the practice phone.

Instead of a variable per-minute rate, you pay a fixed monthly price, regardless of call volume. Voxtra also understands Swiss German and adapts to the caller. At the practice’s request, an SMS confirmation goes out after the booking, with a private link through which patients manage their appointment themselves.

When appointments are only given by phone today

Some practices work with phone and calendar, and their teams prefer treating over administering software. That suits Voxtra very well. Voxtra is intended precisely for practices that devote their time to patients.

We take care of the technical setup: forwarding for open or busy lines, connection to the calendar or booking system, SMS confirmations and test calls. If you would additionally like a simple booking route for the website, we set that up too. We configure the interfaces, and your team stays in its familiar system until the first calls are answered.

In daily operation, the practice gets the decisive details where it works: who booked, when the appointment takes place, for which treatment and which contact details are stored. The next step is thus clear, and notes move into the system by themselves.

Costs in comparison

A telephone service usually bills variably, per minute or per call. That is hard to plan: a quiet month is cheap, a month with many calls becomes expensive, and the strongest months hit your budget hardest.

Voxtra costs a fixed amount, from CHF 299 per month, however often the phone rings. A free 30-day test with your real calls is included, and cancellation is possible monthly. What is included in the price and which packages exist, you can read under Costs & prices.

When a human is still the better choice

Some conversations belong with a human. For delicate or complex concerns, a human is the better address, and a good telephone secretariat can show a great deal of tact here.

Voxtra is prepared for that too. Where a human is called for, the assistant can, on request and according to your rules, hand over to a person in your practice. Simple appointment booking thus stays automatic, and the difficult cases land where they belong.

Swiss-made software from Zurich

Voxtra is a Swiss product in its own right: the software stack is developed, owned and operated by Voxtra GmbH in Zurich. For Swiss practices that means short lines of communication, a local contact and data protection that meets Swiss expectations.

Sensitive call and appointment data is treated confidentially and serves only the services agreed with your practice. The revised Swiss Data Protection Act (revFADP) is therefore part of the product.
