Automating appointment booking: connecting scheduling system, phone and calendar

Automated appointment booking sounds like a software project. For a practice it means above all: callers get an appointment while your team carries on working. Voxtra connects the practice phone with your existing scheduling system.

The essentials at a glance

  • Connects call, scheduling system and calendar; the appointment lands in the system immediately.
  • Also works with phone-only operation.
  • Moving, rebooking, cancelling included, around the clock, handled straight away.
  • Your existing system stays: OneDoc, ePhysio or Google Calendar.

What automated appointment booking means

Automated appointment booking is more than an online form. The assistant understands the concern on the phone, asks for the necessary details, checks free times and books a suitable appointment. The person simply calls.

This matters particularly for practices because many appointments are still made by phone. Anyone offering only an online booking system loses exactly the people who prefer to talk or to call quickly while on the move.

The existing scheduling system stays

Voxtra complements your scheduling system. OneDoc, ePhysio or Google Calendar remain the leading calendars. The assistant sits in front of them on the phone and writes confirmed bookings directly into them.

This keeps it to one calendar. Your team sees the appointments where it already works. More on the integration is available at OneDoc and ePhysio.

Also with phone-only operation

Some practices like booking by phone best, and that may stay that way. If the phone is your main channel, Voxtra automates exactly this channel instead of replacing it with a new portal. Callers speak as usual, and in the background a clean calendar entry is created.

The assistant connects the phone and the calendar: it understands the concern, checks the free times and enters the confirmed appointment in OneDoc, ePhysio or Google Calendar. Your own booking website is optional for this; the existing calendar is enough.

This is how appointment allocation by phone is automated while everything stays familiar for the caller. They only notice that someone picks up and the appointment is fixed immediately.

Reliable booking instead of a callback list

Reliable booking needs three things: available times, clear rules and a confirmation. Voxtra checks the free time slots, takes location, treatment and the responsible person into account, and only enters the appointment once the caller confirms it.

At the practice’s request, they then receive an SMS with the appointment details and a private link. This turns a phone conversation into a binding booking instead of a note that has to be picked up again later.

Moving, rebooking, cancelling or calling off appointments

Appointment booking goes beyond the first entry. Patients want to move, rebook, cancel or call off appointments, or in everyday language sometimes “delete” them. For the practice, what matters is that this process lands cleanly in the calendar.

Voxtra handles rebooking and cancellation by phone. In addition, if the practice has enabled SMS, the caller can use the private link from the SMS to manage the appointment themselves. When an appointment is cancelled, the time slot becomes free again and can be allocated anew.

Why phone and online booking belong together

Online booking is convenient, but many prefer to pick up the phone. Some questions are too unclear for a form, some people prefer to talk, and some call outside opening hours because that is finally when they have time.

This is exactly where Voxtra complements an existing scheduling system: the calendar stays digital, but the access is more human. The person calls, briefly explains the concern and still gets an automated, confirmed booking.

Swiss-made software from Zurich

Voxtra is a Swiss product in its own right: the software stack is developed, owned and operated by Voxtra GmbH in Zurich. For Swiss practices that means short lines of communication, a local contact and data protection that meets Swiss expectations.

Sensitive call and appointment data is treated confidentially and serves only the services agreed with your practice. The revised Swiss Data Protection Act (revFADP) is therefore part of the product.
