What the phone really costs in everyday work
A single call takes perhaps two minutes. But in a practice, more hangs on it: interrupting a treatment, switching gears, opening the calendar, searching for a free appointment, noting down a name and number, and then finding your way back into the work. With ten or twenty calls a day, this adds up to a whole block of time.
Missed calls are especially costly. Those who want to book an appointment and meet a busy line rarely wait patiently. Many keep searching until another practice answers. This demand vanishes before it reaches any callback list.
Why interruptions cost more than two minutes
Interruptions have a measurable price. In a study by the University of California (Mark, Gudith and Klocke, 2008), interrupted work was indeed completed faster, but at the price of more stress, frustration and time pressure. In healthcare, safety comes into it as well: in a study in the Archives of Internal Medicine (Westbrook et al., 2010), each interruption was associated with 12.1% more procedural errors and 12.7% more clinical errors.
On top of this, many people prefer writing or booking online. In a Bitkom survey in Germany (2025), just over a third (36%) said they had at some point postponed necessary calls out of fear of phoning; among the under-30s, as many as 44%. A third (32%) prefer to arrange appointments with service providers such as hair salons or medical practices in writing rather than by call.
Your customers simply want to get through
Practices have a reputation for being hard to reach. In another Bitkom survey in Germany (2024), 88% agreed with the statement that practices are often difficult to reach by telephone. In Great Britain, the share of patients who can easily reach their GP practice by telephone fell from 81% (2012) to 50% (2023), according to the NHS GP Patient Survey (Nuffield Trust).
Demand for booking independently of phone hours is growing accordingly. According to Bitkom (2025), 64% of Germans have at some point arranged a doctor’s appointment online, and 84% of online-booking users name independence from phone hours as the most important advantage. In Switzerland, as early as 2018, 68% considered online appointment booking important or very important (E-Health Barometer, gfs.bern, reported by SRF). Voxtra is also reachable when your practice has closed.
What Voxtra takes off the team’s hands
Voxtra accepts calls, asks for the concern and checks free times. The assistant books the appointment directly in your calendar, moves existing appointments or cancels them. At the practice’s request, an SMS with a confirmation and a private management link goes to the caller.
In many standard cases, the callback list disappears altogether. The team saves itself reaching the same person again later, searching for the appointment a second time and typing the details in. For direct calendar booking, Voxtra connects with OneDoc, ePhysio or Google Calendar. How this works in detail is described on the page on automated appointment booking.
ROI with honest accounting
A serious ROI depends on your numbers: how many calls do you miss today? How often does someone have to call back? What is the contribution margin of an additional appointment? And what does an hour of practice administration cost internally?
The simple calculation looks like this:
- additionally booked appointments per month times the value per appointment,
- plus saved team hours times the internal hourly cost,
- minus the Voxtra monthly price.
With Voxtra, the price starts at CHF 299 per month. Even a few additional appointments or a few saved callback hours cover this amount. Use your real values, instead of somebody else’s sample calculation. The rates are under Costs and prices.
What stays with the team
Human judgement stays with your team. Medical questions, delicate situations, complaints and everything that goes beyond an appointment process remain with your team.
That is exactly why the separation matters: routine to the assistant, responsibility to the human. Voxtra intercepts appointment bookings, rebookings and cancellations, and promises a callback in your own announcement whenever a caller asks for one.
