AI voice assistant for the practice: what to look for when comparing

An AI voice assistant is quickly promised, but only some suit a Swiss practice. This page names the criteria that really matter in a comparison. Anyone who asks a few clear questions before testing saves themselves trouble later on.

The essentials at a glance

  • Swiss data protection (revFADP/GDPR) instead of a black box from abroad; recordings reserved for your practice.
  • Real integration with your practice software: OneDoc, ePhysio, Google Calendar.
  • Really books appointments instead of only leaving messages.
  • Understands Swiss German, clear monthly price, set-up in around 30 minutes.

Swiss data protection (revFADP)

Sensitive health data is collected on the phone. So clarify first where this data sits and who sees it. A provider for Switzerland must meet the revised Swiss Data Protection Act (revFADP); the EU GDPR usually comes with it.

Just as important: are recordings used to train AI models? For a practice, the expected answer is: recordings serve only the agreed services. Ask about encryption and about whether callers learn at the start that they are speaking to an assistant.

Voxtra is designed for the revFADP and the GDPR. Recordings are processed confidentially for your practice, used only for the agreed services, and handled by Voxtra and its contractually bound service providers.

Integration with your practice software

An assistant that only passes appointments on as a note merely shifts the work. The difference lies in real booking: the appointment lands directly in the calendar of your practice software, with the right time window and the right therapist.

Check whether the provider knows your specific software rather than just advertising a generic interface. Voxtra books directly into OneDoc, ePhysio and Google Calendar. An Outlook integration is in preparation.

Understands Swiss German

In German-speaking Switzerland, a large share of callers speak dialect. An assistant that only understands Standard German produces follow-up questions and, in the end, calls cut short. Test this early: call and speak Swiss German.

Voxtra understands dialect, and the caller keeps their own way of speaking. You can read more under Swiss German on the practice phone.

Really books appointments instead of only leaving messages

Many systems record a concern and put it on your team’s desk. That is an answering machine with a better voice. A good assistant carries the conversation through to the end: it books an appointment, moves it, rebooks it or cancels it.

Voxtra does exactly that during the call. The booking is followed, at the practice’s request, by a confirmation SMS with a private link that the caller later uses to make changes themselves. That way the callback list is tidy the next morning.

If you are looking for automated appointment booking or a booking system for the practice phone: what matters is that the assistant makes a binding entry in the calendar instead of just taking notes. More on this under Automate appointment booking.

Transparent prices, cancellable monthly

Look for a clear monthly price rather than packages whose costs only become visible in the conversation with sales. Unclear items often arise from set-up fees, minimum terms and per-call surcharges.

Voxtra costs a fixed amount per month and a free 30-day test with your real calls is included. You can cancel monthly. The exact breakdown is under Costs and prices.

Set-up in around 30 minutes

The best assistant is of little use if set-up becomes a weeks-long project. Ask how long it takes and who does it. In a small practice, set-up fits into the daily routine.

With standard set-up using an existing calendar it takes around 30 minutes, and we set everything up together with you. After that, Voxtra takes forwarded calls, including in the evenings and at weekends.

If your practice deliberately wants to keep personal phone contact, start with Voxtra as an overflow: your team keeps answering when it can. The assistant steps in when everybody is busy, when the line is busy or outside opening hours. Practices with phone-only operation leave the technology to us as well; we help with call forwarding, calendar integration and a simple booking path.

For a small Swiss practice, Voxtra meets these six criteria: Swiss data protection is right, bookings land directly in OneDoc, ePhysio or Google Calendar, dialect is understood, appointments are really booked, the price is clear and set-up is quick.

Swiss-made software from Zurich

Voxtra is a Swiss product in its own right: the software stack is developed, owned and operated by Voxtra GmbH in Zurich. For Swiss practices that means short lines of communication, a local contact and data protection that meets Swiss expectations.

Sensitive call and appointment data is treated confidentially and serves only the services agreed with your practice. The revised Swiss Data Protection Act (revFADP) is therefore part of the product.
